We set the standard for transportation and modern mobility.The Role:For our office in Medellin (Colombia) we are looking for a motivated, dynamic Administrative Assistant to Executive Director LATAM (m/f/d) to support the administration and office management activities in our newly created branch in Latin America. It is a great opportunity to join the team of international engineers and play a significant role in the back office activities to support the expansion of the railway business in the region. 

Your tasks

  • Complete a broad variety of administrative tasks for Executive Director LATAM including managing calendar appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Plan, coordinate and ensure the schedule is followed and respected. Providing "gatekeeper" and "gateway" role for executive director
  • Communicate directly with internal and external stakeholders and successfully handling marketing initiatives and/or events 
  • Research, prioritize, and following up on incoming issues and concerns addressed to the regional director. Determining the appropriate course of action, referral, or response.
  • Provide a bridge for smooth communication between the regional director and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. 
  • Work closely and effectively with the director to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. 
  • Complete successfully critical aspects of deliverables with a hands-on approach, including drafting personal correspondence, presentations
  • Prioritize conflicting needs; handles matters expeditiously, proactively, and following-through on projects to successful completion, often with deadline pressures
  • Deal with other admin activities delegated by the executive director 
  • Cooperate closely with HQ in Germany 

  • Strong work tenure: five to ten years of experience supporting director/executive director, preferably in a fast-paced environment 
  • Bachelor degree or undergraduate degree (técnico) in engineering, alternatively business administration
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail 
  • Very strong interpersonal skills and the ability to build relationships with internal and external stakeholders
  • Previous experience in working for LATAM region 
  • Fluency in Spanish and English (written and oral plus business correspondence), German would be an asset 
  • Demonstrates proactive approaches to problem-solving with strong decision-making capability 
  • Emotional maturity 
  • Highly resourceful team-player, with the ability to also be extremely effective independently 
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer/client service and response 
  • Demonstrates the ability to achieve high-performance goals and meet deadlines in a fast-paced environment 
  • Thinks forward and actively seeks opportunities and proposes solutions 
  • Experience and interest in internal and external communications, marketing and event organization 
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms.
