Our partner Aecon is based in Canada, and they are a leading infrastructure company that connects roads and transit systems, communication networks and water infrastructure projects across North America and internationally.The partnership will be called ONxpress Operations Inc and the combined experience and capability of the ONxpress partnership enable us to bring the international experience of designing, constructing, and operating rapid transit solutions in high-density population and urbanization locations.

About the project:
This brownfield project will significantly enhance the service delivery proposition for riders across Toronto and surrounding areas and will ensure a long-lasting sustainable economic, environmental and lifestyle contribution to its current and longer-term society needs.

The Administrator to the Head of Revenue Vehicle Maintenance is an energetic, motivated, highly organized, approachable, and collaborative individual to manage a dynamic office of the Head of Fleet Maintenance. He/she will provide administrative and organizational support and execute the day-to-day tasks needed to fulfill our clients’ needs for various products and services. The administrator should exhibit extensive knowledge of transportation service operations and administrative experience in a similar industry. An accomplished administrator will be someone whose expertise results in cost-effective and efficient transit industry services. The administrator of the Head of Revenue Vehicle Maintenance is responsible for direct communication and ongoing collaboration with the Maintenance and Field Services Operations teams is an essential requirement.

  • Create service orders, service planning, document management and tracking, compliance, and maintaining filing systems
  • Design, construct, maintain and validate compliance and maintenance tracking spreadsheets and reports
  • Review, establish and implement fleet maintenance policies and processes
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Arrange meetings and team activities
  • Support managers in processing purchase orders, processing and filing invoices
  • Oversee (home) office supplies such as employee laptops, monitors, docking stations, etc.
  • Being the system administrator for booking transit and accommodation when required
  • Obtain and issue documentation as required such as permits, registrations, etc.
  • Validate, monitor, and manage purchase orders and employees and financial transactions
  • Coordinate appointments and meetings for executives and managers
  • Perform periodic audits on equipment to ensure they meet Lifting Solutions standards and fleet maintenance program requirements
  • Complying, verifying, recording, and processing fleet and maintenance documentation, ensuring all completed mandatory paperwork is thorough, accurate, and submitted on time
  • Bachelor of Business Administration or a combination of education, training and experience deemed equivalent
  • 5+ years of experience in a similar role or industry; the ability to obtain Canadian Rail Operating Rules (CROR) is required
  • Strong organization and time management skills to keep schedules straight and multitask on a variety of administrative duties
  • Excellent written and oral communication skills to top executives, staff members and visitors to the business; Should be able to compose letters, emails, and social media posts using an appropriate, professional tone and correct grammar and spelling
  • Highly developed people and interpersonal skills to work well with all staff members and visitors to the business
  • Attention to detail to complete the tasks at a high standard, without errors
  • Problem-solving and critical thinking abilities to adapt quickly when clients need to cancel meetings, appointments need juggling, supplies don't arrive on time, and other workplace emergencies arise
  • Can successfully navigate through a complex, fast-paced work environment using an approach that encompasses integrity and pride in the work
  • Dedicated team player who can also operate independently with minimal direction while producing results
  • Client-focused and highly driven with an emphasis on high levels of accuracy and meticulous attention to detail

  • Familiarity with the Microsoft Office suite of products including Excel
