Thank you for visiting our website. We are pleased that you are interested in Deutsche Bahn (AG)* as a potential employer. The protection of personal data of applicants**, employees and all third parties connected with us is of particular importance to us.
When processing personal data, Deutsche Bahn takes account of the relevant statutory provisions on privacy and data security applicable in the respective countries, as well as of our internal privacy regulations.
This Privacy Notice provides information on how Deutsche Bahn deals with personal data collected through Deutsche Bahn’s job board web pages, or that you otherwise provide to Deutsche Bahn, due to your application, and explains the handling of your personal data in the course of the application process.
For better clarity, this privacy notice is divided into three sections: The first section A provides general information relevant for all subsidiaries of Deutsche Bahn which use these web pages for their application processes. Country and subsidiary specifics with regard to privacy are then explained in section B. Section C gives you further insights into technically relevant information.
Part A - General Information
1. Which purpose has the personal data collection?
Deutsche Bahn needs your personal data to handle your application. The data you have provided to us in line with your application will only be used and processed for the purpose of applicant selection. For the handling of your application we will only use the information that you have provided to us directly. This may include details that you have stored in online career networks or other job boards.
In addition, it is our goal to make the application process as easy as possible for you. We take your application into account for further positions within our subsidiaries. In this case, we might contact you and invite you to apply for another position if your profile matches. You then decide if you are interested in applying. The same applies for any speculative application that you might have provided to us.
2. Which personal data do we collect?
We record your personal data which is relevant for, or that you provide to us during, the application process (including, but not limited to last name, first name, address, email, position you applied for, and details on your application). To be able to consider your application thoroughly we might also need information on your previous professional career and other similar information.
In order to consider you for other suitable jobs, we will ask you in some cases for your preferences (e.g. regarding preferred locations or job groups).
If our system contains more than one profile of you with an identical e-mail address, the data is automatically merged. Old data will be overwritten by the newer data. All provided/uploaded attachments will be preserved.
In the case of an online application you complete the personal data in the online forms and upload the relevant documents. In the case of other application channels, we record the relevant information from your application and store your application documents.
3. Who processes the information from your application?
Due to the organizational structure of Deutsche Bahn and depending on the method of application chosen by you, your application might be processed by different divisions. In all cases, your personal data will exclusively be processed by the unit that is responsible for recruiting and, if necessary, by service providers which are contractually bound and legally obliged to comply with the applicable privacy regulations.
In your online application for a specific job or to attend a recruitment event, you can, as an external applicant, actively agree to the disclosure of your personal data for other suitable jobs in the same or another group company (both nationally and internationally). If you do not agree or if you cancel your agreement, this means that the application will cease to be considered for other jobs. If you have applied by email or post, we will inform you in the acknowledgement of application that we would also like to check your application against other job offers in the same or another group company. In this regard, we will advise you to notify us if you do not agree to this. Prior to any disclosure of your personal data, we will contact you again to obtain your express consent. You may cancel your agreement to disclosure at any time, by email or post, at the address indicated in Clause 1. If you retract your consent to share your application, the consequence is that your application will no longer be taken into account for other positions.
4. Who is informed about your application?
Your personal data is treated strictly confidentially and will be provided only to the competent persons involved in the recruitment process and to subcontractors which might deliver necessary services during the selection process (e.g. online test suppliers). For more details on subcontractors on a country and subsidiary level please refer to section B.
Should you be considered for employment, the subsequent use or disclosure of your information is limited to general accepted employment-related purposes to those with a need to know. This includes information disclosed to internal or third party providers for required pre-employment check, verification and any legal or regulatory requirements.
If you apply online, we ask you to decide to which extent we are allowed to share your personal data:
- In case you select “nationally”, your profile is visible to Personnel responsible for recruitment within the country in which the position is located or which you have selected as country of interest in the speculative application process. If in a particular country/business unit there are modifications to this, due to specific local requirements, then these are described in their respective privacy notices, Part B.
- In case you select “internationally”, your profile is visible to Personnel responsible for recruitment independent in which country they are located. This means that all responsible employees of all DB Group companies that use this platform for their recruitment purposes, including, if applicable, employees of their respective data processors, have access to your application/profile. You find out to which DB Group companies this actually applies if you turn to the overview of the attached local privacy policies (see Section B).
Within DB Group uniform minimum standards apply for dealing with personal data, according to our Global Privacy Policy.
In particular, it is inadmissible to use your application/profile for other purposes besides our recruitment processes, as described in our Privacy Policy. Nevertheless please note that due to the various locally applicable data protection regulations there are different levels of protection by the respective privacy regulation in the different countries.
If you applied using any other application channel besides online application, your personal data will only be shared in the country the job is located in.
You can revise your decision on the visibility of your application at any time, for instance you may decide to withdraw your decision to be visible internationally. If you want to do so, please refer to part B and the respective country and subsidiary specific section for the concrete email address.
5. How can you change your personal data?
In the case of an online application you can access and update your profile and personal information in the job board, including your personal data and added documents, at any time. Furthermore, it is possible to withdraw an application for a position via your profile. If you want us to delete your profile and/or some or all of your applications with immediate effect, please refer to part B for the respective email address to request the deletion. In this case we will also inform any subcontractor (e.g. for online tests) who might have received your personal data and request the instant deletion of your personal data.
6. When is your personal data deleted?
Due to different deletion periods based on the diverse applicable local data protection laws please refer to the relevant paragraph in part B for further details. We will only store your personal data as long as necessary.

Part B - Additional Country and Subsidiary Specific Information

This information sets out the additional basis on which any personal data we collect from you, or that you provide to us, will be processed by us, as required by local laws. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it, above and beyond those general practices detailed in part A and C. For the purposes of Data Protection Legislation, the data controller is DB Cargo (UK) Ltd, Lakeside Business Park, Carolina way, Doncaster, DN4 5PN.
1. Our Commitment
DBC UK will comply with the GDPR. This states that the personal data DBC UK holds about you must be:
- Used lawfully, fairly and in a transparent way.
- Collected only for valid purposes that DBC UK have clearly explained to you and not used in
any way that is incompatible with those purposes.
- Relevant to the purposes DBC UK have told you about and limited only to those purposes.
- Accurate and kept up to date.
- Kept only as long as necessary for the purposes DBC UK have told you about.

2. Storage of Personal Data
DBC UK may collect, store, and use the following categories of personal data about you:
- Personal contact details such as name, title, addresses, telephone numbers, and personal
- email addresses.
- Date of birth.
- Gender.
- Marital status and dependents.
- Next of kin and emergency contact information.
- National Insurance number.
- Bank account details, payroll records and tax status information.
- Salary, annual leave, pension and benefits information.
- Start date.
- Location of employment or workplace.
- Copy of driving license.
- Copy of passport.
- Copy of Work Permit.
- Recruitment information (including copies of right to work documentation, references and other information included in a CV or cover letter or as part of the application process).
- Employment records (including job titles, work history, working hours, training records and professional memberships).
- Remuneration history.
- Performance information, competencies and test results relevant to your role.
- Disciplinary and grievance information.
- CCTV footage and other information obtained through electronic or similar means such as swipecard records and GPS or location data.
- Information about your use of our information and communications systems (including user login and password information).
- Photographs.
- Attachment of Earnings Orders or other legal documents or instruments concerning you.
DBC UK may also collect, store and use the following "special categories" of more sensitive personal
data:
- Information about your race or ethnicity.
- Trade union membership.
- Information about your health, including any medical condition, absence, health and sickness records.
- Information about criminal convictions and offences.
- DBC UK typically collects personal data about employees, workers and contactors through the
- application and recruitment process, either directly from candidates or sometimes from an employment
- agency or background check provider. DBC UK may sometimes collect additional information from third parties including former employers, credit reference agencies or other background check agencies.
DBC UK will collect additional personal data in the course of job-related activities throughout the period of you working for us.
3. Personal Data Usage
The potential uses of personal data included in this Notice are not intended to be an exhaustive list of all of the reasons DBC UK may process personal data. DBC UK will only use your personal data when the law allows us to. Most commonly, DBC UK will use your personal data in the following circumstances:
- Where DBC UK needs to perform the employment, agency, consultancy or other service contract DBC UK has entered into with you.
- Where DBC UK needs to comply with a legal obligation.
- Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
DBC UK may also use your personal data in the following situations, which are likely to be rare:
- Where DBC UK needs to protect your interests (or someone else's interests).
- Where it is needed in the public interest or for official purposes.
The situations in which DBC UK will process your personal data are listed below.
- Making a decision about your recruitment or appointment.
- Determining the terms on which you work for us.
- Checking you are legally entitled to work in the UK.
- Paying you and, if you are an employee, deducting tax and National Insurance contributions.
- Providing employment benefits to you.
- Liaising with your pension provider (including any scheme Trustees and/or administrators).
- Administering the employment or service contract DBC UK has entered into with you.
- Business management and planning, including accounting and auditing.
- Conducting performance reviews, managing performance and determining performance requirements.
- Making decisions about salary reviews and compensation.
- Assessing qualifications for a particular job or task, including decisions about promotions.
- Gathering evidence for possible grievance or disciplinary hearings.
- Making decisions about your continued employment or engagement.
- Making arrangements for the termination of our working relationship (including any transfer pursuant to the Transfer of Undertakings (Protection of Employment) Regulations or ‘TUPE’).
- Assessing and providing education, training and development requirements.
- Dealing with legal disputes involving you, or other employees, workers and contractors, including accidents at work.
- Ascertaining your fitness to work.
- Managing sickness absence.
- Complying with health and safety obligations.
- Preventing fraud.
- Monitoring your use of our information and communication systems to ensure compliance with our IT and other company policies.
- Ensuring network and information security, including preventing unauthorised access to our computer and electronic communications systems and preventing malicious software distribution.
- Conducting data analytics studies to review and better understand employee retention and attrition rates.
- Equal opportunities monitoring.
Some of the above grounds for processing will overlap and there may be several grounds which justify your use of your personal data. If you fail to provide certain information when requested, DBC UK may not be able to perform the contract DBC UK has entered into with you (such as paying you or providing a benefit), or DBC UK may be prevented from complying with our legal obligations (such as to ensure the health and safety of our workers).
When you apply for a job at DB Cargo we would like to inform you that, in order to combat terrorism, we are checking your data according to the relevant EU-acts as well as the current US-regulations on sanction lists.
4. Change of purpose
DBC UK will only use your personal data for the purposes for which DBC UK collected it, unless DBC UK reasonably considers that DBC UK needs to use it for another reason and that reason is compatible with the original purpose or otherwise permitted by the GDPR. If DBC UK needs to use your personal data for an unrelated purpose, DBC UK will notify you and DBC UK will explain the legal basis which allows us to do so.
5. Special Categories of Personal Data or “Sensitive Personal Data”
"Special categories" of particularly sensitive personal data require higher levels of protection. DBC UK needs to have further justification for collecting, storing and using this type of personal data. DBC UK may process special categories of personal data in the following circumstances:
- With your explicit written consent.
- Where DBC UK needs to carry out our legal obligations and in line with our data protection policy.
- Where it is needed in the public interest, such as for equal opportunities monitoring or in relation to our occupational pension scheme, and in line with our data protection policy.
- Where it is needed to assess your working capacity on health grounds, subject to appropriate confidentiality safeguards.
DBC UK will use special categories of personal data about you in the following ways:
- DBC UK will use information relating to leaves of absence, which may include sickness absence or family related leaves, to comply with employment and other laws.
- DBC UK will use information about your physical or mental health, or disability status, to ensure your health and safety in the workplace and to assess your fitness to work, to provide appropriate workplace adjustments, to monitor and manage sickness absence and to administer benefits.
- DBC UK will use information about your race or national or ethnic origin, religious, philosophical or moral beliefs, or your sexual orientation, to ensure meaningful equal opportunity monitoring and reporting and any necessary workplace adjustments.
- DBC UK will use trade union membership information to pay trade union premiums, register the status of a protected employee and to comply with employment law obligations.
6. Information about criminal convictions
DBC UK may only collect and use information relating to criminal convictions where the law allows us to do so. This will usually be where such processing is necessary to carry out our obligations and provided DBC UK do so in line with this Notice. Where appropriate, DBC UK may collect information about criminal convictions as part of the recruitment process or DBC UK may be notified of such information directly by you in the course of you working for us.
Less commonly, DBC UK may use information relating to actual or potential criminal convictions where it is necessary in relation to legal claims, where it is necessary to protect your interests (or someone else's interests) and you are not capable of giving your consent, or where you have already made the information public.
DBC UK may also process such information about former employees, workers and contractors in the course of legitimate business activities with the appropriate safeguards.
7. Automated decision-making
Automated decision-making takes place when an electronic system uses personal data to make a decision without human intervention. DBC UK do not envisage that any decisions will be taken about you using automated means however DBC UK will notify you in writing if this position changes.
8. Data sharing
DBC UK may have to share your data with third parties, including customers, suppliers, third-party service providers and other entities in its corporate group (both in the UK and mainland Europe).
DBC UK requires third parties to respect the security of your data and to treat it in accordance with the law.
DBC UK may transfer your personal data outside the EU. If DBC UK does, you can expect a similar degree of protection in respect of your personal data (and DBC UK will put in place all measures required to comply with the cross border transfer requirements contained in the GDPR).
9. Why might you share my personal data with third parties?
IDBC UK may share your personal data with third parties where required by law, where it is necessary to administer the working relationship with you or where DBC UK have another legitimate interest in doing so (for example providing goods and services to its customers).
10. Which third-party service providers process my personal data?
"Third parties" includes third-party service providers (such as IT and HR service providers, contractors and designated agents) and other entities within our group.
The following activities are carried out by third-party service providers:
- Payroll (including the processing and distribution of pay slips)
- Pension administration
- Benefits provision and administration (e.g., Fuel n Go, Reward Gateway)
- Work force administration
- Medical records management
- Safety incident reporting and administration
- Management of IT infrastructure provision
- Processing ad hoc employee expenses and payments
- Competence assessment to ensure DBC UK’s continued compliance with rail industry and other legal and regulatory standards
- Assessment of management competencies under 360 degree appraisal
- Management of driver competence through telematics
11. How secure is my information with third-party service providers and other entities in our group?
All our third-party service providers and other entities in the group are required to take appropriate security measures to protect your personal data in line with our policies. DBC UK does not allow our third-party service providers to use your personal data for their own purposes. DBC UK only permits them to process your personal data for specified purposes and in accordance with our instructions.
12. When might you share my personal data with other entities in the group?
DBC UK will share your personal data with other entities in our group as part of our regular reporting activities on company performance, in the context of a business reorganisation or group restructuring exercise, for system maintenance support and hosting of data.
13. What about other third parties?
DBC UK may share your personal data with selected other third parties, for example customers, suppliers, a court, regulator or other competent authority.
14. Data security
DBC UK has put in place measures to protect the security of your information. Details of these measures are available upon request.
Third parties will only process your personal data on our instructions and where they have agreed to treat the information confidentially and to keep it secure.
DBC UK has put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, DBC UK limits access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
DBC UK has put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where DBC UK is legally required to do so.
15. Data retention
DBC UK will only retain your personal data for as long as necessary to fulfil the purposes DBC UK collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
Details of retention periods for different aspects of your personal data are available in our Data Retention Policy. Please contact us if you wish to receive a copy of this. To determine the appropriate retention period for personal data, DBC UK considers the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which DBC UK processes your personal data and whether DBC UK can achieve those purposes through other means, and the applicable legal requirements.
In some circumstances DBC UK may anonymise your personal data so that it can no longer identify you specifically, in which case DBC UK may use such information without further notice to you. Once you are no longer an employee, worker or contractor of the company, DBC UK will retain and securely destroy your personal data in accordance with our Data Retention Policy.
Rights of access, correction, erasure, and restriction
Your duty to inform us of changes
It is important that the personal data DBC UK holds about you is accurate and current. Please keep us informed if your personal data changes during your working relationship with us.
Your rights in connection with personal data
Under certain circumstances, by law you have the right to:
- Request access to your personal data (commonly known as a "data subject access request"). This enables you to receive a copy of the personal data DBC UK holds about you.
- Request correction of the personal data that DBC UK holds about you. This enables you to have any incomplete or inaccurate information DBC UK holds about you corrected.
- Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have exercised your right to object to processing (see below).
- Object to processing of your personal data where DBC UK is relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where DBC UK is processing your personal data for direct marketing purposes.
- Request the restriction of processing of your personal data. This enables you to ask us to suspend the processing of personal data about you, for example if you want us to establish its accuracy or the reason for processing it.
- Request the transfer of your personal data to another party.
If you want to review, verify, correct or request erasure of your personal data, object to the processing of your personal data, or request that DBC UK transfer a copy of your personal data to another party, please contact dataprivacyuk@deutschebahn.com in writing.
No fee usually required
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, DBC UK may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, DBC UK may refuse to comply with the request in such circumstances.
What DBC UK may need from you
DBC UK may need to request specific information from you to help us confirm your identity and ensure your right to access the information (or to exercise any of your other rights). This is another appropriate security measure to ensure that personal data is not disclosed to any person who has no right to receive it.
Right to withdraw consent
In the limited circumstances where you may have provided your consent to the collection, processing and transfer of your personal data for a specific purpose, you have the right to withdraw your consent for that specific processing at any time. To withdraw your consent, please contact dataprivacyuk@deutschebahn.com .Once DBC UK has received notification that you have withdrawn your consent, DBC UK will no longer process your information for the purpose or purposes you originally agreed to, unless DBC UK has another legitimate basis for doing so in law.
Changes to this Notice
DBC UK reserves the right to update this Notice at any time, and DBC UK will provide you with an updated version of the Notice when DBC UK makes any substantial updates. DBC UK may also notify you in other ways from time to time about the processing of your personal data.

Part C – Technical Information
For technical reasons, certain data must be collected and saved when you visit this website. The following data is collected without any action on your part and saved until it is automatically deleted after 10 days:
- IP address from the querying computer,
- Date and time of access,
- Name and URL of the file acessed,
- Website from which the access took place (referrer URL),
- the browser used and in some cases the operating system of your computer.
1. How is your personal data transferred?
The internet server of our provider meets the current security standards. Our aim is to protect your personal data from loss, misuse, unauthorised access, publication, change and deletion. Your personal data is transferred to the servers using the security standard, the TLS method.
2. What is a cookie?
Cookies are small text files which might store personal data. Cookies can be sent to this website when it is called, allowing the user to be identified. Cookies help users to use internet sites more easily.
We differentiate between cookies that are necessary for the technical functions of the website and those that are not necessary. We would like to provide you the option to make an informed decision for or against the use of cookies that are not necessary for technical functions of this website. Session cookies cannot be deactivated as they are necessary for the usage of this website.
The “PHPSESSID cookie” and the "ScustomPortal-[...] cookie" are used by the platform on stateless protocols as identification criteria to recognize several associated requests of a client and to assign them to one session. In these cookies there is a long alphanumerical ID included which is also stored on the server. In case both IDs match, the client is allowed to send a request to the server. The session and the cookie are destroyed as soon as the page is closed.
3. Use of Adobe Analytics
This website uses Adobe Analytics, a web analytics service provided by Adobe Systems Software Ireland Limited (4-6 Riverwalk, City West Business Campus, Dublin 24, Ireland) ("Adobe"), in order to analyze and periodically improve the use of this website. The statistics we collect enable us to improve our services and make them more interesting for you as a user. Adobe Analytics uses cookies with a duration of 24 months that are stored on your computer to enable us to analyze your use of the website.
The information generated by the cookie is transferred to an Adobe server in the USA and stored there. Since a technique for anonymizing your IP address is activated on this website, your IP address will be shortened beforehand. Adobe will use this information for the purpose of evaluating your use of the website, compiling reports on website activity and providing other services to us relating to website activity and internet usage. In this way we can see how often which sections and texts on our pages are read and used, and whether the design of our page has an influence on the extent of use. The statistics obtained allow us to improve our offer and make it more interesting for you as a user. Entries made in form fields during the application process are not evaluated with Adobe Analytics.

Under no circumstances does Adobe Test & Target store and process personal data, such as a complete IP address, through this website. 4. Use of YouTube
We want to give you a wide variety of information across media formats. Our website includes embedded YouTube videos. We merely enable a connection to YouTube. YouTube is a service of Google Inc., Amphitheatre Parkway, Mountain View, CA 94043, USA.
The privacy-enhanced mode is activated for all YouTube videos on our website. The privacy-enhanced mode is provided by YouTube and ensures that YouTube does not save any cookies containing personal data on your computer. When the website is called up and in the embedding of the videos the IP address is transmitted. This will not be assigned to any other data if before you call up the page you have not logged in to YouTube or another Google service or if you are not permanently logged in.
When you click to play the embedded video, the privacy-enhanced mode means that YouTube saves on your computer only cookies that do not contain any personally identifiable data. These cookies can be disabled in the browser settings and extensions. YouTube sets a session cookie that is deleted when you close your browser.
