We are looking for a Document Manager (f/m/d) for our Electrification project of a high-speed line in Riga, Latvia.
The electrification project of the 870 km (ENE), double-track high-speed line is the world’s largest electrification project. The Document Manager (f/m/d) reports to the ENE Engineering Project Manager and is responsible for project-wide Document Management and Progress Reporting and Communication processes.
Responsibilities:
- Review and submit the Contractor Document Management Plan.
- Ensure that only legally compliant documentation is stored in the Employer’s Document Management System and verify the contractor's compliance with this provision.
- Prepare, check, update, receipt, and control of incoming and outgoing documents, distribution, storage, and maintenance of records for both internal documents and contractor compliance.
- Manage information classified as Limited Access, obtaining necessary clearance and signing non-disclosure agreements to handle confidential information.
- Review and comment on the Contractor Communication Management Plan, ensuring all engagement and communication activities are clearly identified, scoped, and scheduled, including public relations and media activities.
- Ensure that information classified as ‘Confidential’ is distributed only to authorized parties.
- Translate documents from Latvian to English as required.
- Analyze, review, monitor, give instructions, and follow up on compliance with all employer requirements related to document management and progress reporting.
- Be responsible and accountable for analyzing, reviewing, monitoring, instructing, and following up on contractor compliance with all plans, processes, and activities throughout the deployment from design to handover.
- Report both internally and externally on the status, planning, issues, mitigations, and impacts on the Document Management System and associated documents.
- Minute all meetings related to the Document Management System.
Qualifications:
- 5 yrs. with proven and verified experience as Document Manager having used the main platforms such as but not limited to ProjectWise; Aconex
- High level of office knowledge in MS Word, Excel, PowerPoint.
- Latvian, (native or fluent), and English (fluent) language skills.
The salary range for this position is 2500 to 3500 euros gross monthly (depending on experience and qualifications).
