As a Document Controller / Project Assistant (f/m/d), you are responsible for the effective administration of project documentation and providing comprehensive support to the project team throughout the entire project lifecycle.
You will work in a dynamic infrastructure project environment, Very good knowlegde of English and fluency in Lithuanian language are essential for this position.
Responsibilities:
- Manage and control all project documentation using established codification, versioning, and formatting principles.
- Develop, adapt, and implement document codification systems and control processes for consistency and traceability.
- Ensure quality control of all design and project documentation before delivery to clients and stakeholders.
- Develop and maintain document control processes for the efficient management and recording of all project related documentations
- Administer the Common Data Environment (CDE) and set up electronic library systems for smooth exchange and management of technical documents.
- Prepare, maintain, and ensure consistent usage of document templates, such as reports, meeting minutes, and presentations.
- Handle, record, receipt, update, and archive incoming and outgoing documents and communications, including emails, calls, and meeting notes.
- Manage distribution, storage, and compliance of internal and contractor documents.
- Accurately take minutes and notes during meetings and coordinate meeting arrangements.
- Assist the project team with data codification and document management throughout the project lifecycle.
- Provide efficient project-related support across various phases.
- Respond to official enquiries and collaborate closely with the project team, working independently when needed.
- Translate documents from Lithuanian to English
- Handle multiple tasks while meeting deadlines.
Qualifications:
- B.Sc. or M.Sc. degree in Business Administration or related field.
- Minimum of 3 years' experience in document administration, preferably within infrastructure projects.
- Proven experience with Project Information Management Systems, MS SharePoint, ProjectWise, Aconex, or similar software.
- Experience in codification principles for documents
- Understanding and experience with reading and understanding technical drawings of advantage
- Comprehensive knowledge of Microsoft Office applications.
- Strong written and verbal communication skills in both English and Lithuanian (native or fluent proficiency required).
- Highly organized, detail-oriented, and skilled in problem-solving.
- Demonstrated ability to work independently as well as within a team environment.
- Innovative thinking and a proactive attitude.
- Experience in managing responsibility and delivering high-quality project support.
The salary range for this position is 2500 to 3500 euros gross monthly (depending on experience and qualifications).
