Responsibilities:
- Support the life of the branch, including procurement of office supplies, housewares, furniture, and similar necessities.
- Interact with building maintenance staff (plumbers, electricians, etc.) and organize repairs as needed within the office space.
- Support payment processes by managing and processing incoming invoices; assist in preparing contracts and conclude new agreements with external partners in Kazakhstan (such as transportation, telecommunications, internet, and translation services) to ensure DB’s internal requirements are met.
- Maintain branch documentation and manage official correspondence.
- Provide administrative support for visa and registration processes, including preparation and submission of required documents.
- Coordinate and liaise with Rodl & Partners GmbH on tax and legal matters; provide the necessary information and documentation to support their interactions with local tax authorities and legal advisors.
- Provide support in procurement processes, including creating BANFs, monitoring procurement stages, and obtaining necessary approvals.
- Offer travel support for employees by coordinating with service providers, booking tickets, hotels, and transfers, and ensuring complete documentation for business travel, including visa support for employees and management.
- Support with expense reimbursement procedures.
- Provide assistance with translations among Russian, English, and Kazakh languages.
- Regularly prepare and process payroll activities for the branch, i.e. systematically reviewing upcoming salary payments for accuracy in collaboration with the external payroll provider and the internal accounting department
- Lead Citibank-related operations and maintain regular contact with Citibank representatives
- Prepare payment transactions, ensuring accuracy and compliance with internal policies through COT (Cash Online Tool)
- Calculate, monitor, and report the branch’s cash flow to support financial planning and management
Qualifications:
- Bachelor’s degree in Business Administration, Finance or a similar field
- Experience in a similar position in an international company
- Fluent in Russian and English (Kazakh, Kyrgyz, Tajik, Turkmen, or Uzbek language skills (B2) are considered an asset)
- Willingness to travel within the Central Asian region
