Stellenbeschreibung

  • University or other similar education
  • At least 5 years of experience in similar position of supporting and assisting senior management positions, preferably in an international environment
  • Excellent communication and organizational skills, as well as a strong attention to detail
  • Intercultural knowledge and sensitivity, as well as strong service culture and customer-oriented attitude
  • Advanced time management and analytical skills and the ability to work under pressure;
  • Highly trustworthy including commitment to maintain information with confidentiality and integrity, high degree of discretion required at all times;
  • Strong motivation, reliability and commitment to delivering quality
  • Ability to work independently in a results-oriented and problem-solving manner including the ability to multi-task
  • Strong customer orientation and sense of team spirit
  • Excellent MS Office skills
  • Fluent in English (other languages are a plus)
  • Ability and willingness to travel abroad if required

  • Support the SVP GBPE regarding all administrative, organizational and professional topics
  • Proactively and efficiently manage the calendar of the SVP GBPE including setting of meetings, aligning meetings with respective stakeholders and prioritizing incoming and outgoing meeting requests based on business needs and requirements
  • Ability to look ahead and understand the prioritization of key objectives and help manage the deliverable or priorities;
  • Proactively manage incoming mails and issues, transform into action items, prioritize and follow up/ raise attention to urgent topics with SVP GBPE (or respective team members where feasible) to ensure delivery is on time; 
  • Communicate on behalf of SVP GBPE to all relevant stakeholders within and outside of GBPE team and DB Schenker Finance organization and be single point of contact for all incoming requests to SVP GBPE
  • Make travel arrangements for SVP GBPE and ensure expense reporting in line with Schenker policies
  • Preparation of professional quality documents (e.g. Powerpoint presentations, newsletter articles)
  • Organize GBPE team events. meetings & workshops including logistics, preparation and topic coordination;
  • Act as a PMO by participating in business meetings, conduct presentations, create MoMs, RAID logs and follow up on action items
  • Support GBPE HO team in access management, procurement requests, new employee organization and other administrative queries
  • Incoming invoice handling and monitoring of budget for GBPE
  • Define the department communication plan and manage the execution of all planned activities accordingly (e.g. newsletters, information sessions, intranet, Sharepoint, etc.), create content and ensure all information is up to date, aligned with the SVP and with the business strategy, by closely collaborating with the 2 local teams in Bucharest and Manila;
  • Participate in and undertake specific projects based on business needs, carrying out background research and presenting findings;
  • Any other responsibilities that the SVP may request;
